Kaiya's tools
Ask Kaiya to research a question, analyse information or create something for your work. Kaiya can search the web and create images, documents, reports and spreadsheets.
You can name the sources you want Kaiya to use without choosing individual tools or learning commands.

Work through a complex task
Tell Kaiya the result you need. Add the client's requirements, off-limits firms and decisions. Kaiya can plan the work, research missing facts and choose the sources.
Kaiya can use several tools for one request. For example, Kaiya can research ownership online, search professional networking sites and compare candidates with your firm's Invenias records.
Review the assumptions and evidence in Kaiya's answer. Correct anything that misses the brief.
See progress and sources
Follow Kaiya's work in the progress summary. Open the summary to see the sources and actions for the request.
Use the progress summary to check that Kaiya understood the scope and used the right sources.
Use Deep Thinking
Leave Deep Thinking off for most work. Kaiya can still handle multi-step tasks.
For difficult analysis, select the brain icon to turn on Deep Thinking. Select it again to turn Deep Thinking off. Check the setting after you reopen Kaiya.
Deep Thinking uses the same data, access and Memories. Attach a missing source or ask Kaiya to use the right connected system. See Use Deep Thinking.
Format a message
Select Aa in the desktop message composer to add headings, emphasis, lists, links, quotes or code formatting. On mobile, use blank lines and hyphens, or open Kaiya on desktop. See Format messages to Kaiya.
Research the web and read online sources
Ask Kaiya to research a subject, answer a question or investigate a claim using the web. Kaiya can find sources, read web pages and published reports, and compare what they say.
You can give Kaiya a web address or ask for research on a subject. Sources can include company websites, news articles, research papers, online reference material and PDF reports.
Kaiya can read the pages behind search results to check the details, follow relevant links and compare accounts of an event. You can open the cited sources to check the findings.

Use the attached client brief to focus the research. Cover ownership, recent
investment and demand for operations leaders. Include sources for the facts
we could use in the pitch.
You can also ask about a particular page or report:
Read the annual report at this link. Compare it with last year's report.
Explain what changed in the company's strategy, investment plans and risks.
Create a Word briefing for tomorrow's meeting, with links to the evidence.
If Kaiya cannot open a page, ask for another source. You can also attach a copy you can access.
Search leading professional networking sites
Kaiya can search leading professional networking sites for people and companies, then retrieve more profile information as needed.
A search can return more than 100 people or companies. The total depends on the matches Kaiya finds. If too few matches fit, ask Kaiya to investigate other roles or companies that meet the brief.
Searching professional networking sites does not require Invenias. You can use either source on its own or combine them.
Kaiya can draft LinkedIn messages or posts. You send or publish them through LinkedIn.

Search and analyse Invenias
Your firm must connect Kaiya to Invenias to use this feature.
Kaiya can search and analyse these Invenias record types:
- People
- Companies
- Assignments
- Programmes
Ask in ordinary business language. Kaiya can combine accessible records, count results, find patterns and produce evidence for a decision.
Show our active CFO assignments and the sectors they cover. Count candidates
at each stage for each assignment. Identify assignments with few suitable candidates.
Kaiya uses the information from your firm's Invenias connection. Without Invenias, ask Kaiya to use professional networking sites, other online sources and attached files. See Search and analyse Invenias.
Work with result sets
Kaiya shows a preview in the conversation. Open Results from the menu to find a saved result by its name or conversation. Results loads the first 1,000 rows and shows the total count.
Depending on the result, you can:
- Search, filter and sort rows.
- Show or hide fields that Kaiya returned.
- Switch between table, chart and person-profile views when those views are present.
- Export tables as Excel or CSV files.
- Download chart images.
To export all records, clear the search, filters and selected rows before you select Export.
On mobile, Open results in chat shows a preview. Open Results from the menu for the full controls. Select the conversation name above the result title to return to chat. Ask Kaiya there for another field, analysis or chart. See Work with results.
Add or update Invenias records
Your firm must connect Kaiya to Invenias to use this feature.
Kaiya can prepare changes to people, companies, assignments and programmes. Your firm must also enable updates. If Kaiya says updates are unavailable, contact hello@kaiya.ai.
The normal workflow is:
- Ask for the change.
- Review possible matches, warnings and proposed changes.
- Approve the plan when the changes match your request.
- Check the result after Kaiya applies the approved plan.
Kaiya checks for possible existing records, but the check cannot find every duplicate. Review each match and proposed change before you approve the plan. If the plan is wrong, reject it or ask Kaiya to revise it.
Open CRM updates to find previous plans and check their results. A plan can include changes to related records. If Kaiya prepares a replacement plan, review it before you approve it. Check any changes already made.
Without Invenias, ask Kaiya to prepare a change table for manual entry.

Create Word documents
Kaiya can create Microsoft Word documents and attach them to the conversation. Ask for a research report, client briefing, candidate report, proposal or translated document.
Ask for one of your firm's existing templates or a standard Kaiya template.
For a new or changed template, contact hello@kaiya.ai. If no template fits, ask Kaiya for the text and put it in your Word template.
Tell Kaiya the purpose, audience and source material. Kaiya can check facts online and use information from the current conversation.

Keep the facts, figures and caveats. Mark claims that lack supporting evidence.

Create assignment reports
Your firm must connect Kaiya to Invenias to use this feature.
Open Reports from Kaiya's menu. Choose one of your firm's templates. Select the assignment and follow the report steps.
Each template includes standard report setups. You can change options, save a new setup and share it with a colleague.
You can create reports on desktop or mobile. If you cannot see Reports or no templates appear, contact the Kaiya team at hello@kaiya.ai. Without Invenias, ask Kaiya for a Word report from the material you provide.

Create spreadsheets
Kaiya can create an Excel spreadsheet from research, supplied data or the current conversation. Ask for the fields and calculations that matter to your decision.
Create an Excel spreadsheet from the company research above. Include sector,
headquarters, ownership and reported revenue. Add a source link for each figure
and mark missing information.
Each file contains one worksheet. For several worksheets, ask for separate files and combine them in Excel.
Search results already have their own table and export controls. Open the Results page when you want to filter or export an existing result set.
Create or edit images
Kaiya can create an image or edit the most recent image you supplied. To edit an older image, attach it again.
Describe what the image should show and how you will use it. Include the size, visual style and your firm's colours. You can attach reference images.
Create a wide image for our article about succession planning. Show two leaders
talking in a sunlit office. Use a photographic style and leave room on the left
for a headline. Do not add text.

Work with recordings and images
Kaiya can work with common audio and video files. For video, Kaiya processes the audio track. Send screenshots when visual information matters.
You can use recordings for meeting notes, interview summaries, action lists and candidate documents. See Use voice notes and recordings.
Kaiya can also read screenshots, photographs of notes and charts. State which part of the image matters if it contains a lot of information.
Work with attachments
Kaiya can use common office files, PDFs, plain text, spreadsheets, images and recordings.
Kaiya extracts text and values from office files. Send a screenshot when page layout, an embedded image or spreadsheet presentation matters.
Large files can exceed the amount of text Kaiya can read. Save the pages or worksheet you need as a separate file. Attach that file to the conversation.
Manage Instructions and Memories
Tell Kaiya what to remember for later conversations. For example: “Remember that I lead our firm's robotics practice.” Kaiya can save the fact as a Memory for later use.
Use Instructions for directions that apply to each conversation:
Save this as an Instruction: start my client updates with the decisions we need.
You can ask Kaiya to list, change or delete Instructions and Memories in chat. On desktop, you can also open Personalisation to manage them.
Keep the full assignment history in the assignment conversation or in Invenias.
