New to Kaiya? See How to work with Kaiya. The step-up CFO example shows how to refine a search as Kaiya gathers evidence.

Turn a brief into search criteria and research questions

Start with the role you need to fill. Kaiya can propose suitable experience and research the facts needed for the search.

Find candidates for Acme Software's first Chief People Officer role. Use the attached brief. Acme has bought three businesses in two years and needs someone who has brought teams together after acquisitions.

Give Kaiya the client's requirements and off-limits firms when you know them. Kaiya can identify suitable job titles.

Correct any mistaken interpretation of the role. Explain where the client will consider different experience and which requirements they will not change.

See Create target candidate lists and How to work with Kaiya.

Build a target company universe

Build a company list with enough detail to decide where to search. Ask Kaiya to research ownership, size and the experience each business could offer.

Create a market map for Acme Robotics' COO search using the attached brief. Find European industrial automation manufacturers with US operations. Include ownership, products and company size. Explain which companies could supply candidates with experience of opening factories.

Name companies you already rate and those you need to exclude. Tell Kaiya which other sectors the client will consider.

Check the dates behind ownership and size figures. Use strong examples to direct further research into similar companies.

The warehouse automation manufacturers look promising. Find more companies whose leaders have the manufacturing experience in the brief. Exclude businesses that only sell software.

See Create target company lists and Build a market map.

Find people and companies through professional networking sites and Invenias

Kaiya can search leading professional networking sites without an Invenias connection. You can also ask Kaiya to search your firm's Invenias records, or combine both sources.

Search professional networking sites for operations leaders from the companies in this market map. Build a candidate longlist against the agreed brief. Include evidence of responsibility for both European and US operations.

You can use Invenias for a separate search or to check candidates your firm already knows:

Check our Invenias records for these candidates. Include relevant previous assignments and notes about their experience.

Point out known candidates and exclusions that the brief does not cover. Use a false positive to explain what Kaiya has misunderstood.

Searches of professional networking sites can return more than 100 people or companies. The number depends on how many results match your request.

See Create target candidate lists, Create target company lists and Search and analyse Invenias.

Review your firm's previous work

Reuse your firm's earlier research where it still applies. Kaiya can find related assignments, placements and companies in Invenias.

Find our previous operations leadership searches in industrial manufacturing. Show relevant companies, placements and colleagues involved. Identify research we could use for the Acme Robotics brief attached here.

Look at the date of the earlier research before you reuse it. Ask Kaiya to verify current roles and ownership where those facts affect the new search.

Requires Invenias: Your firm must connect Kaiya to Invenias to search these records. Without a connection, attach previous research or an Invenias export.

See Review your firm's historic expertise.

Refine and customise result sets

Kaiya shows a preview in the chat and the full result on its own page. You can search, filter, sort and export the table.

Use Columns to choose which existing fields you see. Ask Kaiya to research a field that the result does not yet contain:

Add each candidate's current location and the countries where they have led operations. Identify any details you cannot confirm.

Tell Kaiya how your team defines any field that needs interpretation. For example, responsibility for a region differs from having worked there.

Compare a few entries with their sources before you use the new field to assess candidates.

See Work with results for table controls, charts, profiles and export options.

Find gaps and patterns in market coverage

Find out whether you have covered the market or missed part of it. Kaiya can compare the results with the agreed sectors, roles and locations.

Most of this longlist comes from large businesses. Review our coverage against the Roadrunner COO brief. Have we missed leaders who grew smaller operations?

Include searches your team completed outside Kaiya. Explain any part of the market that the team has chosen to exclude.

Question the reason behind each gap. You may have found a shortage of suitable experience, missed records or a mistaken assumption in the search.

See Work with results and Research companies and markets.

Research people and companies

Check the claims that affect a candidate's suitability. Kaiya can compare career history and company events across professional networking sites, other online sources and connected Invenias records.

Research these candidates and their employers. Check whether each candidate worked at the company while a private equity firm owned it. Show the supporting dates and sources.

Supply interview notes or information from your colleagues that could support or challenge a claim. Ask Kaiya to distinguish candidate statements from verified facts.

The ownership dates matter here. A company's current owner may not have owned it during the candidate's employment.

See Create candidate reports and profiles and Research a person.

Prepare a research hand-off

Give your colleague the research they need to continue the assignment. Ask Kaiya to summarise the findings with source links and unfinished work.

Prepare a hand-off for the Researcher covering my leave. Use the latest Acme Robotics brief and our research here. Explain the company choices, closest candidates and work still to do. Include source links and the reasons behind our exclusions.

Include work you completed outside the conversation. Make sure the summary uses the latest brief and links to the sources behind important claims.

Your colleague also needs the questions to resolve before they present candidates to the client.

See Create documents and Work with results.

Add or update research records in Invenias

Save the research in Invenias without typing it into each record. Kaiya checks for possible existing records before preparing an update plan.

Update this person's Invenias record with their new role and company from the attached interview notes.

Include enough information to identify the person. Your firm's naming conventions can help Kaiya prepare the changes.

Review the proposed matches and changes before approval. Check the result after Kaiya finishes. CRM updates keeps your plans and their results together.

Requires Invenias: Your firm needs an Invenias connection and access to Invenias updates. If you cannot use updates, ask Kaiya to prepare a table of changes for manual entry.

See Update Invenias.
