Reference Guide to Kaiya's Capabilities
This page is a reference for everything Kaiya can do, grouped by capability. It is intended as a quick lookup - each section links to a more detailed guide where one exists.
Seeing what Kaiya is doing
When Kaiya is working on a request, an activity strip above Kaiya's reply shows what is happening live:
- The reasoning Kaiya is following
- The searches, page reads and profile look-ups it is running
- Which documents, spreadsheets and images it is preparing
You can open the strip to see the full activity history, including nested tool calls. See Understanding Kaiya's Activity Strip.
Choosing how hard Kaiya thinks
Kaiya has an effort selector next to the message box with options from Auto through Deep Thinking. Change the effort when a task is ambiguous, research-heavy or especially high stakes. See Choosing Kaiya's Effort Level.
Asking Kaiya to plan and think
Kaiya can plan a multi-step task before taking action. This is especially useful for research, comparisons and any work that is not a one-shot answer.
Use this when:
- You want a thorough approach
- You are unsure how to start a complex task
- You want to see the steps before anything is done
Prompt:
I need to research the top five competitors in the UK fintech market and create a summary report. Please plan your approach before starting.
Kaiya will outline the plan, confirm or refine it with you, then execute.
For complex research or multi-step asks, switch to Thinking or Deep Thinking effort. See Choosing Kaiya's Effort Level.
Searching the web and reading pages
Kaiya can run Google-style web searches and read the full content of public web pages.
- Kaiya uses web search to discover relevant pages for current information and news.
- If a search snippet fully answers your question, Kaiya may rely on it.
- If the snippet is incomplete or needs verification, Kaiya will read the page.
- Kaiya cannot access paywalled or login-only sites but will always look for alternative, reputable sources.
- Kaiya cannot click, fill forms or interact with a web page - it can only read the content.
Prompt:
Search the web for the latest news on UK manufacturing, then summarise the three most important stories.
It is usually best to let Kaiya decide when to read a page. Kaiya will fall back to reading the full page if the search snippet is not enough.
Searching LinkedIn
Kaiya can search LinkedIn for candidates and retrieve the full profile for an individual.
- Kaiya does not use your LinkedIn login - it is not connected to your personal account.
- A single search can return up to 100 candidates.
- Kaiya cannot send messages, post updates or see connections on LinkedIn.
Search prompt:
Find 15 people in the UK who are Chief Marketing Officers with experience in retail.
Get a full profile:
Show me the full LinkedIn profile for https://www.linkedin.com/in/snoopdogg.

Working with Invenias
Kaiya can search your Invenias CRM for candidates and retrieve the full profile for a candidate.
- A single search can return up to 100 candidates.
- Kaiya's Invenias search is natural-language and semantic, so you do not need Boolean syntax. Kaiya understands related terms automatically (for example, Pharma and Pharmaceutical).
- All information on a candidate's Invenias record is in Kaiya's search index, including documents attached to the record.
- You can optionally limit results to recently modified profiles (last ~36 months) and provide
must/must notterms if you need precise filtering.
must and must not act as a strict filter.
MUST have title CEO
Only profiles containing the exact phrase CEO are included.
MUST NOT have title CEO
Profiles containing CEO are excluded.
Use these sparingly. Kaiya's default semantic search usually gives better results.
Search prompt:
Find up to 20 candidates in Invenias who are Chief Technology Officers in London. Exclude anyone with "interim" in their profile.
Get a full profile:
Get the full Invenias profile for Snoop Dogg.
- Kaiya cannot search Invenias for companies, assignments or programmes - only for candidates. Information on those is available via the associated candidate records.
- Kaiya cannot count candidates or analyse aggregate data in Invenias.
- Kaiya cannot update Invenias.

Creating Word documents
Kaiya can produce Microsoft Word documents. Your company's branded templates are used automatically when a suitable one exists, otherwise Kaiya uses a default Kaiya template.
- The document is delivered as an attachment in the chat.
- Kaiya supports standard Word elements: headings, bullets, tables, bold/italic text, indents and page breaks.
- Kaiya cannot change the template itself, headers, footers, fonts, justification or table styles.
Prompt:
Create a candidate profile document on Snoop Dogg using his attached CV.

Creating Excel spreadsheets
Kaiya can produce simple single-sheet Excel spreadsheets, delivered as an attachment in the chat.
Prompt:
Create a spreadsheet called "Sales Report" with a worksheet named "Q1 Results". Columns: Product, Sales, Region. Rows: Widget, 100, London and Gadget, 200, Manchester.
For LinkedIn and Invenias searches, Kaiya generates the results spreadsheet automatically - you do not need to ask for one.

Creating and editing images
Kaiya can create a new image or edit an image you have attached (or the most recent image Kaiya generated).
You can specify:
- The style or orientation (landscape, portrait, square, or auto)
- What the image should show (be specific and detailed)
- Whether to create a new image or edit the most recent one
- The quality (low, medium or high)
- Whether the background should be transparent
Prompt:
Create a new, high-quality landscape image titled "Teamwork" showing a diverse group of people collaborating in an office.

Understanding audio, video and images
Kaiya can understand audio and video recordings (video is processed as audio only) up to around four hours in length. Typical uses:
- Meeting and interview recordings
- Voice notes recorded directly in Teams
- Images of handwritten notes, whiteboards or screenshots

Attachments Kaiya can read
Kaiya accepts most common file types:
- Office: Word (docx), Excel (xlsx), PowerPoint (pptx)
- Plain text: txt, csv, md
- Images: png, jpg, gif, webp
- Audio and video: most common formats
For office, PDF and plain text files, Kaiya is limited to 50 MB or about 40,000 characters per file. For audio and video, the limit is about four hours.
Kaiya extracts the raw text from office documents and PDFs. It cannot see layout, embedded images or spreadsheet formulas. If layout matters, send a screenshot of the content instead.
Memory and preferences
Kaiya can remember things for you and recall them later.
- Global preferences are short, persistent instructions (style, language, document structure) that Kaiya loads into every conversation.
- On-demand memories are notes and reference content that Kaiya loads when they look relevant, or when you ask for them.

You can record feedback on Kaiya's performance at any time. The Kaiya team reviews feedback to improve the service.
